Uitgedacht Coaching handles your personal data carefully and confidentially. This privacy policy explains what information I collect, why I use it and how I protect it.

1. Who is responsible for your data?

Uitgedacht Coaching, a sole proprietorship operated by Bastiaan Huisman, is responsible for processing your personal data.

2. What information do I process and why?

Enquiries and appointments

When you contact me through my website, by email or by telephone, I process your contact details and the information you provide. I use these details to respond to your enquiry, arrange appointments and, where applicable, prepare an agreement.

Coaching

During a coaching engagement, I keep your contact details, coaching agreement, coaching goals, brief session notes and, where applicable, exercises or reflections you share with me.

I use this information to prepare, conduct and evaluate our coaching sessions.

Coaching may involve sensitive personal matters, including health, mental wellbeing, relationships and personal circumstances. Where I record special categories of personal data, such as health information, I ask for your separate, explicit consent. You may withdraw this consent.

For professional registration and accreditation, I maintain a separate log of my coaching hours. I record as little personal information as possible, such as a client reference number, general information about their role and organisation, coaching themes and the number of coaching hours.

Massage

For relaxation massage, I may record relevant practical information, such as personal preferences, allergies or physical complaints that I need to take into account. I ask for explicit consent before recording health information.

Administration

For invoicing and bookkeeping, I process the contact, invoice and payment details required for these purposes.

3. Legal basis for processing

I process personal data where necessary to prepare or fulfil an agreement, comply with legal obligations, or pursue legitimate interests, such as website security. Where required, I rely on explicit consent to process special categories of personal data.

4. Confidentiality and supervision

I treat information shared during coaching as confidential.

As part of my professional development, I may discuss cases with a supervisor or fellow coaches. I only use information that has been sufficiently anonymised to ensure that the client cannot reasonably be identified.

5. Where is your information stored?

I use the following services:

  • TransIP for website hosting and email.
  • Microsoft 365 Business for client files, notes, scheduling and online meetings through Teams.
  • e-Boekhouden.nl for invoicing and bookkeeping.
  • Banks and payment services for processing payments.

Client information is accessible only to me, apart from necessary processing by service providers. I use access controls and two-factor authentication where available.

Where providers process personal data outside the European Economic Area, the applicable legal requirements for international transfers apply.

Online sessions are not routinely recorded.

6. How long do I keep your information?

I keep personal data only as long as necessary, unless a legal retention obligation applies.

  • Enquiries that do not lead to an engagement: up to 6 months.
  • Coaching notes and related client documents: up to 2 years after the coaching engagement ends.
  • Massage notes: up to 2 years after the last appointment.
  • Coaching hours log: for as long as necessary for professional registration and future accreditation, but no longer than the end of my coaching career.
  • Financial records: generally 7 years, in accordance with Dutch tax law.

7. Website and cookies

My website uses WordPress and a contact form. Technical information, such as IP addresses, may be processed to operate and secure the website.

I currently do not use visitor analytics or advertising trackers.

8. Your rights

You have the right to access your personal data, request corrections and, where legally applicable, request deletion. In certain circumstances, you may also object to processing, request restrictions or request data portability.

Where processing relies on consent, you may withdraw that consent at any time.

For questions or requests, please contact info@uitgedacht.eu. I normally respond within one month.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

9. Changes to this policy

I may update this policy if my services or data processing practices change. The current version will be available at uitgedacht.eu.
